  • Your name
  • Your email address
  • Your inquiry subject
  • Your message and product requirements
  • Any other information you voluntarily include in your inquiry

Our hosting provider may also process limited technical information, such as IP addresses, browser information, device information, access times and server logs, for security, maintenance and website operation.

Please do not submit sensitive personal data through the contact form.

3. HOW WE USE PERSONAL DATA

We process personal data for the following purposes:

  • To review and respond to inquiries
  • To understand product and sourcing requirements
  • To evaluate whether a proposed project fits our current business scope
  • To communicate about potential or existing business cooperation
  • To maintain the security and technical operation of the website
  • To comply with applicable legal obligations
  • To establish, exercise or defend legal claims where necessary

We do not use contact-form information for unrelated marketing without a separate lawful basis.

4. LEGAL BASIS FOR PROCESSING

Depending on the circumstances, personal data may be processed on the following legal bases:

  • Taking steps at your request before entering into a contract
  • Our legitimate interest in receiving, evaluating and responding to business inquiries
  • Performance of a contract or management of an existing business relationship
  • Compliance with applicable legal obligations
  • Your consent, where consent is specifically requested

5. CONTACT FORM AND EMAIL DELIVERY

The contact form is provided using SureForms on WordPress.

The form is configured not to retain submitted inquiry data in the WordPress form-entry database after submission. Form information is transmitted by email to [email protected] and processed through the website’s email-delivery system and Zoho Mail.

Although the form itself does not retain entries, submitted information may remain in our email account for the period required to handle the inquiry and for the retention period described below.

6. SHARING OF PERSONAL DATA

Personal data may be processed by service providers that support the operation of the website and email communications, including:

  • Hostinger, as the website hosting provider
  • Zoho Mail, as the email service provider
  • WordPress, SureForms and related technical service providers used to operate the website and contact form

We may also disclose information when required by law, a competent authority or in connection with the establishment, exercise or defence of legal claims.

We do not sell personal data.

When evaluating sourcing requests, product requirements may be discussed with selected suppliers or service providers. Wherever reasonably possible, unnecessary personal contact details will be removed before project information is shared.

7. INTERNATIONAL DATA TRANSFERS

Some service providers or potential project partners may operate outside Finland or the European Economic Area.

Where personal data is transferred outside the European Economic Area, we seek to use appropriate safeguards required under applicable data-protection law, such as an adequacy decision, contractual safeguards or another legally permitted transfer mechanism.

We minimise the personal data included in supplier and project communications wherever reasonably possible.

8. DATA RETENTION

Contact-form submissions are not retained in the SureForms entry database after submission.

Email inquiries that do not lead to an active business relationship will generally be retained for no longer than 24 months after the latest relevant communication.

Information may be retained for a longer period when:

  • A business relationship or project remains active
  • Retention is required for accounting, taxation or other legal obligations
  • The information is necessary to establish, exercise or defend legal claims
  • There is another lawful reason for continued retention

When personal data is no longer required, it will be deleted or anonymised where reasonably possible.

9. COOKIES AND TECHNICAL DATA

The website may use cookies or similar technologies that are necessary for website security, administration and basic technical operation.

At present, EUVANCO does not intentionally use advertising cookies, behavioural advertising tools or marketing profiling technologies.

If analytics, advertising or other non-essential tracking technologies are introduced in the future, this Privacy Policy and the website’s cookie settings will be updated where required.

You can control or delete cookies through your browser settings. Blocking strictly necessary cookies may affect some website functions.

Reasonable technical and organisational measures are used to protect personal data against unauthorised access, accidental loss, misuse, alteration or disclosure.

However, no website or email transmission can be guaranteed to be completely secure. Please avoid sending confidential technical information, payment details or sensitive personal data through the general contact form.
